Our transformation to an international parcels-led business that also delivers letters in the UK continues at speed  as we will shortly be opening our new, state of the art Midlands Parcel Hub at Northampton.   With first class facilities, the Hub will be the size of more than 10 football pitches and have the capacity to process over one million mail items per day, making it our largest parcel hub in the UK. 

We are looking for a Site Team Leader to manage the provision of Office Management Services & Cleaning within the Midlands Parcel hub, Midlands Academy and offices within the East Midlands to meet financial, customer and quality requirements.

The role
As Site Team Leader, you’ll manage a team of Cleaning Operatives/Receptionists to deliver a first class, professional reception and cleaning services at the Hub and additional locations, Duties include managing the day-to-day relationship with customers, internal/external stakeholders, HR processes (attendance and performance management) and Facilities Management responsibilities (meeting room management, maintenance,  health & safety compliance).

You’ll ensure that all Reception staff & Cleaning Operatives are safely tasked, have the necessary skills, equipment (including PPE) and materials to perform their allocated tasks and manage team performance by coaching, training, conducting inductions and developing the team. 

You’ll be the point of contact relating to Facilities Management issues, escalations or under performance for sites, providing customers and stakeholders with regular communication informing them of progress and resolution timescales.  

Working collaboratively with soft and hard services colleagues, you’ll deliver improvement initiatives as part of annual savings and optimisation programs, embrace change and strive for opportunities to enhance customer satisfaction.


Other accountabilities 
•    Support the day-to-day management of property running costs of a significant value across their site/s, acting as the key interface between Royal Mail and service providers
•    Contribute to the delivery of the regional financial business plan by carefully managing and developing initiatives to reduce costs and adhering to all SHE processes and initiatives. e.g. reduction of surplus hours on site, agency over-time and absenteeism.
•    Work alongside the Operations Manager to manage the Profit and Loss account for the area by working within budgets, closely managing, as well as identifying ways to drive efficiency savings
•    Monitor and report on non-conformance against local site schedules for in house and other soft services provisions (i.e. Pest Control, Grounds Maintenance, External Waste Management etc. in line with 3rd party contract agreements & KPI’s).
•    Ensure compliance with health and safety legislation and company policies, promoting zero harm and supporting the business energy and environmental strategy through regular monitoring and innovation to reduce where possible.
•    Manage access pass requests and building contact / occupier lists, activating / deactivating passes as required to maintain compliance with Royal Mail’s security policy

 

Attendance
37.5 hours per week, typically between the hours on 08:00 – 17:00, Monday to Friday. The hours can be discussed at interview.  Please note, a degree of flexibility is required to meet the operational requirement.


About you
You need to demonstrate the following skills and benefits on your CV:
•    Experience of facilities and office management at a similar large high-profile building
•    Experience in a supervisory/ management role with Office Management or Cleaning
•    An understanding of health and safety and zero harm
•    IT skills including MS Office suite, email, Microsoft Word, Excel and other software effectively
•    Excellent communication skills with the ability to build and develop relationships with key customers, able to identify ways to add value and improve customer satisfaction
•    Analysis and problem-solving skills
•    Excellent organisational skills, able to prioritise workload, delegate effectively and work autonomously.
