We are looking for an experienced Personal Assistant to support up to three Directors and their Management Teams in a fast paced HR department.

 

This is a hybrid working role but will require you to be on site in Farringdon London at least two days per week.

 

About the role

 

•    Be responsible for keeping the diary, arranging appointments, booking hospitality, hotels, transport and meeting rooms, including for international travel and pull together relevant material for meetings.
•    Type up all correspondence, reports and standard response letters for the Directors and manage all incoming and outgoing correspondence.
•    Research and prepare draft presentations and draft reports for the Directors and their team and prepare briefings for meetings 

•    Act as a first line filter for enquiries and deal with the less complex ones directly
•    Deal with mail and delegate appropriately before reaching the Director
•    Conduct budget work for the Director, including expenses management and reporting
•    Prioritise the Directors’  time and make decisions about what is important for them to deal with personally.
•    Liaise with external and internal customers on behalf of the Directors and prioritise workload to ensure that all urgent and time sensitive issues are dealt with first.
•    Raise and complete Purchase Orders on behalf of the Directors (and their teams where required)
•    Ensure all mandatory compliance learning and tasks are scheduled and completed on time for yourself and the Directors.
•    Minute taking at the Directors senior management team meetings and other meetings where information of a confidential nature is discussed. 

 

About You

 

 

To be successful in this role you will have the following skills and attributes;

 

•    Excellent organisational skills with the ability to prioritise, manage time effectively and multitask to manage the different requirements of the individual Directors
•    Able to communicate clearly and confidently at all levels including senior stakeholders and build appropriate relationships 
•    Flexible with the ability to work autonomously, using own initiative 

•    Able to deliver day to day responsibilities of the role whilst managing ad-hoc projects delegated by the Director / Head of Department
•    Strong interpersonal and influencing skills, telephone skills, can-do attitude
•    Computer literacy / high level IT skills, including intermediate / advanced level of Microsoft Office (eg Word, Powerpoint) and SAP and a good typing speed for dictation if required 
•    High level of use of English Language
•    High level of attention to detail 
•    Confident gatekeeper and calm under pressure 

 

Experience


•    Experience in a similar role 
•    Experience of working within HR environment 

•    Understanding the business and the role of the Directors / Heads of Department and their Management Teams
•    Basic budget management
