Job Purpose

 

  • Responsible and accountable for successfully defining and delivering end-to-end project execution and the provision of effective strategic technology change, to realise maximum business benefits by managing and leading project teams including external delivery partners.
  • Demonstrates experience and skills in the realms of project planning, project estimating, risk/issue/dependency management, budget/financial management and stakeholder management. 

 

In this role, your key accountabilities are:

 

Establishing a project

  • Scope: Defining and agreeing project scope and ensuring requirements are documented using established tools and techniques
  • Stakeholders: Identifying and engaging all project stakeholders, preparing a stakeholder matrix and plan, and developing and implementing an appropriate communications plan
  • Investment: Supporting or leading the production of business cases to secure investment by providing time, resource and cost estimates and associated risks, issues, dependencies and assumptions
  • Resources: Defining the project team roles and responsibilities and supplier sourcing strategy
  • Mobilisation: Production and distribution of all key mobilisation artefacts such as RACI matrices, Project Initiation Documents, collaboration tools, running project initiation workshops, implementing governance and alignment to the corporate governance framework

Plan/Monitor/Control

  • Leadership of the Project team to deliver against for the time, cost and quality paradigm
  • Manage the project in line with agreed methodology/methodologies (Agile/Lean/Waterfall, etc.)
  • Operate as the Systems Integrator, bringing together all internal and external supplier deliverables to ensure delivery of a complete end-to-end solution that is validated and assured against the baseline agreed specification
  • Create an agreed schedule baseline and manage under strict change control
  • Establish and maintain unambiguous controls (Constraints; Actions; Risks; Dependencies; Deliverables; Decisions; Issues; Change; Assumptions)
  • Establish and operate Financial control (budgets £1m-£10m)
  • Ensure proactive management of stakeholders and project communications
  • Agree span of control (management by exception/ tolerances)
  • Establish project meeting cadence
  • Adherence to project reporting processes
  • Identify, manage and report on project dependencies, milestones, critical path, and potential risks and issues, ensuring that appropriate and effective mitigation strategies and contingency plans exist, are agreed and acted upon
  • Agree formal project gateways and corporate governance obligations
  • Comply with data and cyber security obligations 
  • Ensure Business Change activities are in place appropriate to the Project(s)
  • Escalate as and when necessary via the established governance routes

Closing

  • Establish and execute an agreed transition plan with BAU teams
  • Controlled project closure (project site; finances; user acceptance; service acceptance; gateway; project review artefacts, lessons learned)

Compliance

  • Act in accordance will all current and relevant Royal Mail policies


Qualifications and experience required:

 

 

  • Demonstrable experience of successfully delivering change projects
  • Strong dynamic inspirational leader with proven matrix management capability and proven decision-making experience amongst other managers at varying levels and building teams to deliver against a common vision
  • High-level of common sense demonstrable through practical experienceCommunication – High degree of competence in verbal and written communication to a broad audience; and excellent, clear and succinct written communication
  • Demonstrate resilience, persistence, flexibility and drive to maintain progress and resolve issues
  • Good delegation and negotiation skills
  • Able to maintain a sense of perspective and remain calm in challenging situations
